THE LETTINGS GRID — MEMBERSHIP TERMS & CONDITIONS
(England – Administrative Consultancy Services Only)
- Introduction
1.1 These Membership Terms & Conditions (“Terms”) govern your access to and use of services, resources, digital products, consultancy support, and platform features provided by The Lettings Grid Ltd (“we”, “us”, “our”). By creating an account or subscribing to any membership, you accept and agree to these Terms.
1.2 The Lettings Grid provides administrative consultancy support only. We do not act as a letting agent, estate agent, property manager, legal adviser, or regulated professional.
1.3 These Terms apply to all users, regardless of membership level (free or paid).
- Membership Levels
2.1 Membership types include:
– Free Membership – Basic access to limited features.
– Paid Membership Tiers – Access to enhanced and/or discounted services. Paid tiers operate on either a monthly or annual recurring subscription.
2.2 A breakdown of benefits, services, discounts, and inclusions for each tier is available on our website and may be updated periodically.
- Contract Term & Cancellation
3.1 There is no minimum contract term. Memberships are cancel-anytime.
3.2 Cancellations must be made from your account dashboard. Verbal, message, or social media cancellation requests will not be accepted.
3.3 Cancellation stops future billing but does not provide a refund for previous payments or unused time.
- Billing, Payments & Trials
4.1 By subscribing, you authorise recurring billing using your chosen payment method.
4.2 If an offered 14-day free trial is not cancelled before day 14, it will convert to a paid subscription and billing will begin.
4.3 Only one free trial may apply per individual, household, or business.
4.4 If a payment fails, we may retry the charge, request updated details, suspend access, or terminate your membership.
- Cooling-Off & Refund Policy
5.1 No Refunds: All payments are non-refundable, including partial months.
5.2 Immediate Access Waiver: By subscribing, you request immediate access to services and agree to waive your 14-day cooling-off right for refunds under the Consumer Contracts Regulations 2013.
5.3 Confirmation Required: “I request immediate access to services and understand I waive my right to cancel for a refund.”
5.4 Refunds will only be issued where legally required or where we have failed to provide the service purchased.
- Scope of Services
6.1 We provide administrative services including, but not limited to: consultancy-style guidance, document organisation and preparation, inspection observations (non-technical), communication assistance (admin drafting), compliance awareness checks (not validation), maintenance coordination (quotes only), templates, resources, guides, and digital materials.
6.2 We DO NOT: serve notices (Section 21 / Section 8), act as a letting or estate agent, manage tenants or property, conduct legal representation or negotiation, handle rent or deposit funds, publish adverts online or manage enquiries, approve tenants or assess suitability, confirm legal compliance or safety standards, guarantee dispute, eviction, or deposit outcomes.
- Communication & Representation Boundaries
7.1 We may draft communications for members to send, but we do not send communications on behalf of the member.
7.2 We do not negotiate or speak to third parties (landlords, tenants, agents, contractors, solicitors, councils, deposit schemes) as a representative.
7.3 All communications must be sent from the member directly.
- Conflict of Interest
8.1 We may support landlords or tenants, but not both sides of a tenancy, case, dispute, complaint, or related matter.
8.2 If a conflict of interest arises, we may terminate or refuse service and recommend alternative support.
- Third-Party Services
9.1 Some services may involve third parties (referencing, contractors, inspectors, engineers, legal professionals, notice servers).
9.2 We do not guarantee the performance, conduct, cost, or outcome of any third party.
9.3 Members enter separate agreements with third parties and remain responsible for due diligence before engaging them.
- Platform & Member Responsibilities
Members agree to: use services lawfully and responsibly, keep login details secure, provide truthful and accurate information, not misuse the platform or attempt unauthorised access, make their own decisions and seek independent professional advice where needed.
We may suspend or cancel access for misuse, abuse, illegal activity, harassment, or breach of these terms.
- Service Modifications
We may update pricing, features, bundles, inclusions, or exclusions. Reasonable notice will be provided for material changes. Continued use constitutes acceptance.
- Liability
12.1 All services are provided “as-is” without warranty of outcome.
12.2 We are not liable for: loss of income or financial loss, missed deadlines, notices, or legal processes, deposit scheme decisions, court or eviction outcomes, contractor conduct or workmanship, compliance or safety certification failures, user error or incorrect information provided by the member.
12.3 Our total liability is limited to the subscription fees paid in the preceding 3 months.
- GDPR & Data Protection
13.1 We comply with the UK GDPR and Data Protection Act 2018.
13.2 By using our services, you consent to the processing of your data in accordance with our Privacy Policy and Cookie Policy, available on our website.
13.3 You retain the right to access, correct, export, or request deletion of your data where legally applicable.
- Jurisdiction
These Terms are governed by the laws of England. Any disputes will be resolved exclusively in the courts of England & Wales.
- Acceptance
By subscribing or continuing to use our services, you confirm that you: accept these Membership Terms, agree to recurring billing, agree to our no-refund and cooling-off waiver, understand the non-regulated status of our services.
